A retainer is one of the best deals in freelancing: a client pays you a fixed monthly fee for a set amount of work or availability. For the client, it means guaranteed access to someone who already knows their business. For you, it means income you can count on before the month even starts. Yet many freelancers never offer retainers because they do not know how to price them.

Start with your numbers, not your gut. Work out your effective hourly rate first: take what you want to earn in a month, add your business costs and taxes, and divide by the number of billable hours you can realistically sell. If you want to earn 3,000 a month, have 500 in costs, and can bill 80 hours, your floor rate is about 44 per hour. A retainer should never price your time below that floor.

Next, define the scope in hours and deliverables, not just hours alone. A retainer that says '20 hours a month' invites arguments about what counts as an hour. A retainer that says 'up to 20 hours a month, covering up to four blog posts and two rounds of revisions' is clear to both sides. List what is included, what counts as extra, and how unused hours are handled. Most freelancers let unused hours expire at month end; some allow one month of rollover. Pick one rule and write it down.

Pricing structure matters too. A common approach is to discount the hourly rate slightly in exchange for commitment, usually 10 to 20 percent below your project rate, because the client is guaranteeing volume. If your project rate is 50 an hour, a retainer rate of 40 to 45 is reasonable. On top of that, set a minimum term of three months. Shorter terms do not give the relationship time to settle, and you will spend your time re-selling instead of delivering.

Here is a simple template you can adapt. Monthly retainer fee: your retainer rate multiplied by included hours. Scope: a bullet list of deliverables. Extras: billed at your standard rate. Unused hours: expire at month end. Term: three months, then rolling monthly with 30 days notice. Payment: in advance, on the first of the month. That last point matters most: retainers are paid upfront, because the client is buying your availability, not reimbursing hours after the fact.

Pitching a retainer works best with existing clients who already buy from you regularly. Look at the last three months: if a client has paid you every month, they are already on an informal retainer, just without the stability. Say so plainly: 'You have needed about 15 hours a month from me for the last quarter. A retainer would lock in that time at a lower rate and guarantee my availability.' That framing sells a benefit, not a contract.

Finally, review retainers every quarter. If the work keeps spilling beyond the included hours, the scope has grown and the price should grow with it. Raise the fee or reduce the deliverables, and explain the change with the same numbers you used to set it. A retainer that quietly becomes underpaid work helps nobody, and a client who values you will accept a fair adjustment.

Retainers are not immune to scope creep; they just hide it better, because the extra work arrives a little at a time. One extra revision here, one urgent task there, and suddenly you are delivering thirty hours for a twenty-hour fee. The defence is a monthly scope note: a short message at month end listing what was delivered, how many hours were used, and what fell outside the retainer. It takes ten minutes and it makes the conversation about scope factual instead of emotional.

When the note shows consistent overflow, act on it in the next month, not the next quarter. Offer the client a choice: increase the retainer to match the real workload, move the extra work to project billing, or trim the deliverables. Framed as a choice, this is a business discussion, not a complaint. Clients who value the relationship will pick one of the three. Clients who expect unlimited work for a fixed fee have told you everything you need to know about the future of that retainer.
